Seating Planner

Purpose and Basics

The Seating Planner module is used to design the layout of the venue and assign guests to tables and specific seats. It supports multiple plans, various room and table shapes, and smooth drag & drop on the canvas.

Views and Navigation

  • Plan Tabs: Each plan has its own tab. Adding (+) opens the plan creation form; closing (X) asks for confirmation.
  • Venue Canvas: Visualizes the room (square/rectangle/semicircle/circle) with a helper grid (in edit mode). Tables can be dragged; seats react to dragging and dropping guests.
  • Action Panel (desktop) / Options Drawer (mobile): Contains: Create Plan, AI Optimization, Help, Room Settings, Add Table, as well as compact statistics and the guest list.

Main Buttons

  • Create Plan: Name, room shape, width and height (m), and scale (px/m).
  • AI Optimization: Opens preferences and sends an optimization request. The results are applied to the active plan.
  • Help: Brief user instructions (adding, deleting, moving tables; assigning guests; zooming).
  • Room Settings: Edit room dimensions and scale, see summaries (e.g., tables outside the room), save changes.
  • Add Table: Table creator (round/square/rectangular), capacity or seats per side, orientation (for rectangular), actual dimensions in meters, and table type (guest/main/kids/VIP).

Modals and Forms

  • Create Plan: Name, room shape, dimensions, and scale; tips and hints.
  • Add Table: Shape, capacity/side configuration, dimensions; visualization and ergonomic size suggestions.
  • Room Settings: Change room parameters, detect issues (e.g., tables outside the area).
  • AI Optimization: Seating preferences, execution, and preview of results.
  • Delete Confirmations: Warnings about the number of tables/guests (for a plan) or guests at a table (for a table).

Interactions

  • Dragging and Dropping Tables: Limited to the room boundaries.
  • Assigning Guests: Drag a guest from the list or canvas to the nearest available seat — the target seat is highlighted with the word HERE. Dropping onto the unassigned guests list unassigns the guest.
  • Hovering over a Table: Detailed view of seats with initials/full names and a table delete button.

Statistics and Guest List

  • Statistics: number of tables, capacity, assigned/unassigned guests, occupancy (%).
  • Guest List: Search and filters (side: bride's/groom's/shared; type: adults/children; relationship: family/friends). Dragging is enabled for unassigned guests.

Step-by-Step Instructions

Add a New Table

  1. Click Add Table in the action panel.
  2. Choose the shape: round, square, or rectangular. For rectangular tables, set the orientation (horizontal/vertical).
  3. Set the capacity:
    • round – enter the number of seats,
    • square/rectangular – set seats per side (top/bottom/left/right). Capacity is calculated automatically as the sum.
  4. Enter the actual dimensions in meters (diameter for round; width/height for others) — you can use ergonomic suggestions.
  5. Choose the table type (guest/main/kids/VIP) and save.

Assign a Guest to a Table

  1. On the guest list, find the person and drag them onto the canvas, over the highlighted seat at a table (label "HERE").
  2. Alternatively, open the table editor, select a seat number, and choose a guest from the list.
  3. To unassign a guest, drag their badge from the canvas to the unassigned list or use the action in the editor.

Available Table Shapes

  • Round – seats around the table.
  • Square / Rectangular – define seats on the sides (top/bottom/left/right) and, for rectangular, the orientation (longer sides horizontal or vertical).

What You Can Do in This Module

  • Create multiple plans and switch between them.
  • Precisely define the room (shape, dimensions, pixels per meter scale).
  • Add, delete, and edit tables (name, shape, capacity, dimensions, type, seats per side).
  • Drag tables within the room boundaries.
  • Assign and unassign guests using drag and drop or from the table editor.
  • Use AI Optimization to arrange guests according to preferences.
  • Monitor occupancy statistics and filter the guest list.
  • Use delete confirmations for tables and plans to avoid accidental actions.
Guest List: Importing

Two ways to import:

  • Individuals: Paste a list of first and last names (one per line). They will be added to the 'Guests without assigned group' category. You can assign them to groups later.
  • Groups (with AI): Paste a list of group names (e.g., 'The Smith Family', 'College Friends'). The application will create these groups, and our AI will automatically suggest guest names for each, saving you time.

Click the 'Import Guests' button to open the import window.

Guest List: Views

You can switch between two views using the toggle at the top of the list:

  • Group View: The default view. Guests are organized into collapsible groups. This is ideal for managing families or other logical groups. You can drag and drop guests between groups.
  • Flat View: A simple, alphabetical list of all your guests. This view is useful for quickly finding a specific person or checking attendance statuses.

  • Expand/Collapse: Click the group name or arrow icon to show/hide its members. Use the 'Expand/Collapse All' button for quick access.
  • Drag and Drop: Simply drag a guest's name and drop it onto another group's title to move them. The AI may suggest a new name for the group after the change.
  • Group Actions: Hover over a group name to see action icons:
    • Generate group invitation: Copies a unique RSVP link for the entire group to the clipboard.
    • Assign template: Assigns a specific invitation design to the entire group.
    • Generate QR code: Opens a modal with a downloadable QR code for the group's invitation.
    • Add guest: Quickly add a new person to this group.
    • Edit name: Change the group's name.
    • Delete group: Permanently deletes the group and all its members.
Guest List: Managing in Flat View

In this simplified list, each guest has a set of quick actions:

  • Toggle confirmation status: Click the checkmark or clock icon to update the guest's RSVP status.
  • Generate invitation: Copies a unique RSVP link for this specific guest.
  • Edit guest: Change the guest's first name, last name, or type (adult/child).
  • Move to group: Opens a window to move the guest to another group.
  • Delete guest: Permanently removes the guest from your list.
Guest List: Individual Actions

In both views, individual guests have specific actions available via icons:

  • Assign template: Overrides the group template and assigns a unique invitation design just for this guest.
  • Generate QR code: Creates a downloadable QR code for this guest's personal invitation link.
Guest List: Export Options

Click the 'Export' button to access several useful formats:

  • Invitation List (TXT): A simple text file with all group names. Useful for your invitation designer.
  • Full Guest List (TXT): A text file with the full name of every guest.
  • QR Codes (ZIP): A zip file containing a separate QR code image (PNG) for each group's invitation.
  • Mail Merge Data (ZIP): The ultimate package for professional printing. This zip file contains all QR code images and a special 'print_merge.csv' file. This CSV file is structured for use with mail merge features in software like CorelDRAW, allowing your print shop to automatically place the correct QR code on each corresponding invitation.

Main Screen: Overview and Template Selection

This is the first view that appears and is used to manage digital invitation templates.

'My Templates' Section

Your personal library of saved and personalized templates. Each template in this section offers the following actions:

  • Preview and Edit: Clicking on a template thumbnail opens it in edit mode.
  • Edit Name (pencil icon): Allows you to quickly change the name of a saved template.
  • Set as Default (star icon): The template marked with a filled star (⭐) will be automatically assigned to newly created guest groups.
  • Delete (trash icon): After confirmation, permanently removes the template from your library.

'Blissaro Templates' Section

A collection of professionally designed, ready-to-use templates. Clicking on a thumbnail opens the selected template in the editor, where you can customize it and then save it as your own version in the 'My Templates' section.

'Publication Status' Card

This card at the bottom of the page informs you whether your page is currently Published (visible to guests with the link) or a Draft (visible only to you).


Invitation Editor Screen

After selecting a template, you proceed to the main editor, which consists of several key elements.

Top Toolbar

  • 'Back to templates' button: Allows you to exit edit mode and return to the template selection screen.
  • 'Preview' button: Opens a large, full-screen window with a preview of the final version of the invitation.
  • 'Save' button: Available only when editing a template from the 'My Templates' section. Updates the current template with all changes made.
  • 'Save as template' button: Appears when you are editing a template from 'Blissaro Templates'. Opens a window where you can name and describe your personalized version, saving it to 'My Templates'.

Live Preview Panel (left side)

An interactive preview that automatically updates as you fill out the form.

Form Panel (middle column)

Here you personalize the content of the invitation. The fields are automatically generated based on special tags (e.g., {{brideName}}) in the template's code. For convenience, these fields are grouped by theme (e.g., Couple's Details, Ceremony, Reception).

AI Assistant Panel (right side)

A tool for modifying the appearance and layout of the template using text commands. Type a command, e.g., 'Change the background color to light gray' or 'Enlarge all headings', and the AI will modify the template's code. The effect will be immediately visible in the live preview.

  • 'Send' button: Sends your command to the AI for analysis.
  • 'Clear' button: Deletes the conversation history with the AI Assistant.
Virtual Wedding Album: Features and Management

1. First Steps: Creating an Album

When you first enter this section, you will see a welcome screen encouraging you to create an album.

  • 'Create Your Album' Button: Clicking this button opens a modal window (pop-up) with a form where you configure the basic parameters of the album.

Options in the Creation Form

  • Album Name and Description: Basic information that will be visible to you and your guests.
  • Allow Videos: A simple switch (Yes/No) that decides whether guests can upload video files.
  • Allow Comments: Enables or disables the ability for guests to add comments under photos.
  • Automatic Tagging: A very useful feature. If you enable it, the system will automatically add time tags (e.g., 'Ceremony', 'Reception') to photos based on the time they were taken.
  • Maximum File Size (MB): Sets a size limit for a single photo or video.

2. Main Management Panel

Once the album is created, this view becomes your command center. Here you will find everything you need to manage the gallery.

Header and Quick Actions

  • Name and Description: Always visible at the top of the page.
  • 'QR Code' Button: Opens a window with a unique QR code for your album. Guests can scan it with their phone to go directly to the file upload page. You will also find a 'Download as PNG' button, perfect for placing the code on invitations or place cards.
  • 'Settings' Button: Opens the same window you saw when creating the album, allowing you to edit all its parameters at any time.

Statistics

Below the header is a section with dynamically updated numbers that give a quick overview of the activity in the album:

  • Total number of files
  • Number of photos
  • Number of videos
  • Date of the last file upload

File Upload Panel

The 'drag and drop' area allows for bulk uploading of photos and videos. After dragging the files, you will see a detailed progress bar for each file and the overall progress of the entire queue.

Tag Management and Filtering

  • Filter by tags: A dropdown list from which you can select one or more tags to display only matching photos.
  • 'Apply Time Tags' Button: If you did not enable automatic tagging initially or added photos taken before setting the ceremony times, this button will analyze all photos and assign them the appropriate time tags.

3. Photo Gallery Management

All uploaded files are displayed in an interactive grid.

Actions on a Single Photo

Hover over any photo to see quick action icons:

  • Edit Tags (tag icon): Opens a small window where you can manually add or remove tags for that specific photo.
  • View Comments (speech bubble icon): Displays a list of comments added by guests and allows for moderation.

Actions for Multiple Photos (Selection Mode)

To select multiple photos, click on the first one, and then, while holding down the Shift or Ctrl key (Cmd on Mac), click on subsequent ones. After selecting at least one file, new buttons will appear above the gallery:

  • Download as ZIP: Gathers all selected files, packs them into a single .zip archive, and starts the download. This is ideal for archiving or sending photos to a photographer.
  • Delete Selected: After confirmation, permanently deletes all selected files from the album.

Fullscreen Preview

Clicking on any photo opens it in fullscreen mode.

  • Navigation: Use the arrow keys on your keyboard (left/right) or swipe gestures on a touch screen to browse photos.
  • Information Panel: On the right side of the screen is a panel with details: who added the photo, date, original file name, and any comments.
